Following the worship, fellowship, and educational components of the vestry retreat, the regular monthly
meeting of the Vestry was called to order at 2 p.m. on Saturday, March 27, 2010, at Jubilee House in
Abingdon, Virginia. Father Shackleford presided and R. Haren recorded the actions of the Vestry. A quorum
was present, including the following: B. Davenport, M. Gordon, B. Haren (Jr. Warden), R. Haren (Clerk), J.
Hermes (Sr. Warden), S. Hermes, A. Million, R. Peters, and the Rev. R. Shackleford (Rector). J. Pectol was
absent.
Congregational Concerns were addressed by Fr. Shackleford regarding individual choices and a moment of
silence was observed for private prayer for a family undergoing a difficult situation.
Maintenance & Repair: J. Hermes reported that the organ repair estimate was approximately $6,445
from Barter and Nicks; he noted that the insurance claim process was ongoing. To date, we have paid
$5,551 for updating/remodeling work done in nave, sanctuary and hallway.
Heating & Air: B. Haren presented estimates from Kpt. Heating & Air as well as Cooks. The proposals
were discussed. It was noted that with repairs, it is estimated that the church can expect an annual
savings of up to $4,500/year in utilities, thereby allowing the church to recoup expenses within 7 years.
Robert Peters moved that the vestry authorize up to $28,000 to complete the work of Kpt. Heating & Air
installing central heat and air in the nave and sanctuary areas of the church, to include removal and
disposal of the existing roof unit by the best funding means possible. The motion carried. J. Hermes will
begin the application process for a loan with the Opportunity Fund and review other options. B. Haren
noted that additional estimates (for installing central heat and air in the education wing of the church)
should be deferred to a future date. B. Haren also noted that the unit in the nursery had recently stopped
working and will also be replaced.
Security: Various issues were discussed; B. Haren presented estimates from Bryant Security for the
vestry‟s consideration. The vestry‟s consensus was to acquire combination locks for the office and sacristy
doors, complete stages 1 and 2 of the Bryant Security Measures proposal, as well as secure additional
lighting for the outside of the building. B. Haren moved to authorize up to $5000 for building security and
lighting. Following discussion, the motion was seconded and carried. R. Peters abstained.
Miscellaneous: 1) Safeguarding God‟s Children: R. Peters will look into future training dates. 2) B.
Haren presented several future leadership training opportunities. 3) Fr. Shackleford announced that St.
Mary the Virgin Church had relocated to Jonesborough. 4) Fr. Shackleford presented a request for support
from the John Muir Camp for children who have parents in prison, the request is for each church to sponsor
one child at the cost of $325. A. Million accepted responsibility for this as chair of Outreach and
Evangelism. 5) Father requested a bylaws committee be established and chaired by B. Haren upon which,
A. Million moved to create said Committee for the purpose of revamping our bylaws to be consistent with
canon law for consideration at the 2010 annual meeting. The motion was seconded and carried without
discussion. 6) Father appointed A. Million to lead a discernment committee for those in the parish
interested in entering Holy Orders. 7) Father suggested a $250 honorarium be given to B. Haren for
preparation of the extensive resource materials, and facilitation, of the educational portions of the vestry
retreat. A. Million moved to approve $250 to be presented to B. Haren for preparation of retreat materials
and for facilitating the sessions. The motion carried. B. Haren and R. Haren abstained.
Financial: J. Hermes submitted financial reports, B. Haren moved to accept the financial reports. The
motion carried. B. Haren moved that the total financial amount paid to Fr. Shackleford in 2010 be
designated as housing allowance. The motion and carried.
R. Haren moved to adjourn. The motion carried. Fr. Shackleford adjourned the meeting at 3:30 p.m.
